Front of House Administrator

Position Overview

The Main objectives of this role are to ensure that all visitors and callers have a positive experience when visiting The Creative Assembly, support the operations team and to ensure security standards are in place for all visitors to the studio. The candidate needs to be of a pleasant disposition, be able to talk openly and sincerely with all visitors, be focused, and be able to work independently.

Key Responsibilities

  • Answering of all incoming calls and distributing messages where appropriate
  • Welcome and take care of all visitors to the studio
  • Assist with drinks and catering for meetings
  • Booking of meeting rooms and visitors parking spaces
  • Maintain proper housekeeping of all studio areas
  • Responsible for all incoming and outgoing courier deliveries/ post
  • Responsible for arranging all outgoing couriers by ensuring all necessary documents are completed correctly
  • Ensure that all staff and visitors have the necessary security passes to access the relevant areas
  • Ensure that the reception area is updated regularly with the latest marketing assets
  • Booking of all taxi’s and couriers
  • Correct reporting of studio Time and Attendance
  • Maintain stock of office and kitchen supplies and prepare purchase order
  • Assist with preparation of monthly expenses and petty cash reconciliation.
  • Reconciliation and collation of receipts for company purchasing cards
  • Create and maintain proper filing systems
  • Assist the Management team with various roles when needed
  • Preparing Ad hoc reports

 

Knowledge, skills & experience

  • Bright, pleasant and welcoming manner
  • Confident and effective communicator
  • Able to demonstrate initiative and work with minimal supervision
  • Excellent attention to detail
  • Proficient in Excel, Word and Outlook
  • Previous experience in an office and or reception environment
  • NVQ in Office Administration/Customer Service or equivalent qualification preferred
  • Willingness to expand the traditional role of administrator and become more integrated with the business
  • Flexible – willing and able to take on responsibilities outside the remit of the job description.
